Job Cost Overview

This is part of the Overview module. This screen is only available through the Company Overview screen.

General Information Tab

The General Information tab is selected by default when the Job Cost Overview program comes into view. This tab contains the Job ID and Name, the Contract Amount, the Billed to Date amount, the Estimated costs of the job and the Costs To Date incurred.

The following five buttons appear on all the tabs. If the Limit Jobs option is set for one tab, it is activated for all tabs. The same is true for Clear Limits.

View Job (button)

When this button is pressed, the Active Job Cost Overview screen comes into view, allowing the user to . The Active Job Cost Overview allows management to track the progress of jobs in detail and analyze the costs. This screen breaks down the Job Costs into the individual categories. Change Job (button)

When this button is pressed, the Changing a Job screen comes into view. This screen allows the user to change job settings just the same as the Job Costing > Job Setup menu option. For more information, see the Job Setup topic.

Print Summary Reports (button)

Press this button and the Job Cost Summary Reports screen comes into view. Select the desired limits for the report and press the Print button. For more information, see the Job Cost Summary Reports

Print Bonding Reports (button)

Press this button and the Financial Status / Bonding Reports screen comes into view. Select the desired limits for the report and press the Print button. For more information, see Financial Status / Bonding Reports.

Print Analysis Reports (button)

Press this button and the Job Costing Analysis Reports screen comes into view. Select the desired limits for the report and press the Print button. For more information, see Job Costing Analysis Reports

Limit Jobs (button)

This option allows the user to select the jobs that are to be viewed. For more information, see Limit Jobs.

Clear Limits (button)

The Clear Limits button will remove the applied limits and cause the list to include all jobs For more information, see the Clear Limits button.

Close (button)

This button closes the screen and returns to the previous screen.

Limit Jobs (button)

Press the Limit Jobs button and the following screen comes into view. The function of this screen is to select which jobs are to be viewed on screen. The choices are: All Jobs, Completed Jobs Only, or In-Process Jobs, Limit by a Range of Jobs or a Specific Job and Limit by Superintendent and Project Manager.

Job Completion Status

This option allows the inclusion or exclusion of inactive jobs. Choose one of the three following options.

Completed Jobs Only (radio button)

This option will list Completed Jobs Only.

In-Process Jobs Only (radio button)

This option will list In-Process Jobs Only.

All Jobs (radio button)

This option will list both Completed and In-Process Job.

Project Managers

Limit to Specific Superintendent (check box)

Check this box to limit this overview to a Specific Superintendent. The next field will become available. Enter the name of the Superintendent or use the arrow button to choose the desired name.

Limit to Specific Project Manager (check box)

Check this box to limit this overview to a Specific Project Manager. Enter the name of the Project Manager or use the arrow button to choose the desired name.

Jobs

This selection field allows the selection of the jobs the summary should list. The number of the first and last jobs desired should be entered. If information is desired for only one job, that job number should be entered in the From and To fields. To list all jobs, leave the Limit to Specific Jobs box unchecked.

Limit to Specific Jobs(check box)

Activates the ranges which are defined on the next lines. To select only one job, enter that number in both the From and To fields.

From

Selects the first job in a range of jobs or a single job. Enter the number or press the lookup button and the Job Setup screen comes into view. Highlight the desired job and press the Select button.

To

Selects the last job in a range of jobs or a single job. Enter the number or press the lookup button and the Job Setup screen comes into view. Highlight the desired job and press the Select button.

Clear Limits (button)

The Clear Limits button will remove the applied limits and cause the list to include all jobs. When this button is pressed, the following screen will come into view:

If the Yes button is pressed, all limits will be removed. Press the No button and the previous screen comes into view.

Cost Summary (tab)

The Cost Summary tab lists the cost for the six individual cost categories(L, M, S, E, G and B) and shows the total overall cost. Press the Cost Summary tab and the following screen comes into view.

Income Summary Tab

Income Summary lists the original and current contract amounts. The Retained, Received and remaining amounts for each job are listed. Press the Income Summary tab and the following screen comes into view.

Income/Cost Summary (tab)

Income /Cost Summary lists the current contract amounts. The costs accrued and the amount billed and received to date may be reviewed. The markup and the cash margin for each job are also listed. All the different Income/Cost Summary Report columns exceed the width of one screen. Use the scroll bar at the bottom of the screen to see the desired columns. Press the Income /Cost Summary tab and the following screen comes into view.

Bonding Summary (tab)

All the different bonding report columns exceed the width of one screen. Use the scroll bar at the bottom of the screen to see the desired columns. The Bonding Summary tab, when chosen, brings the following screen into view.

An extensive summary of the costs for each job is listed for review along with the Contract Amount.

Graph View (tab)

This tab displays a bar chart containing all the same jobs listed on the other tabs. Click the tab and the following will be displayed:

The graph displays a maximum of 10 jobs at a time. To scroll down to see more jobs, click the down arrow to move down one job or the double down arrow to move down one page. The three bars shown for each job represent the Costs to Date (gold), Current Budget (blue) and Projected Cost (either green or red). If the Projected Cost bar at the back is green, this means the Projected Cost is equal to or less than the Current Budget. If the Projeced Cost bar is red, this means the Projected Cost is higher than the Current Budget.

Sharing Graphs With Others

Any graph can be easily shared with others by either copying it to the clipboard, saving it as an image file or immediately printing it to the default printer. Simply right-click on the graph and select the desired option. To include the graph in an email, right click and select Copy, open an email message, right click and select Paste.

Viewing Dollar Amounts

To see the dollar amounts represented by the displayed bars, simply hover the cursor over one of the bars. A tip like this one will be displayed:

The dollar values of the displayed bars are shown.

Viewing Job Details

From the other tabs, the user can drill down to view job detail by highlighting the desired job and clicking the View Job button at the bottom of the tab. From the Graph View tab, the job detail for a desired job can be displayed by simply clicking on the displayed bars for the desired job.

Flatten Graph (Set Budgets at 100%) (checkbox)

Some jobs may have a much larger budget than others. If this is the case, the bars on the graph might be less meaningful. For example, if one job has a budget of $32 Million, and another has a budget of $8,500, the bars for the larger job will appear as normal, but the bars for the smaller job will be so small as to be practically meaningless. To see a more realistic comparison of these jobs check this box. The blue Current Budget bar will now be set at a constant 100%, with the green/red Projected Cost bar representing the Projected Cost as a percentage of the budget and the gold Costs to Date bar representing the Costs as a percentage of the budget.
