Cost Code Listing

This program is used to print a list of the codes in the Codes File. The dictionary of codes is a useful reference when working with other modules in the system. All those responsible for coding new jobs, entering time sheets, entering invoices, etc. should have a copy available.

This report can be accessed by pressing the Print Cost Code Listing (button) in the Cost Codes screen. The following screen will come into view.

Click on any column header to sort the listed items. This will be useful when the list of reports has grown.

Add or Change (button)

To modify the information used in generating the report, press the Add button or highlight the desired report title and press the Change button. For more information, see Add or Change a Cost Code Listing.

Delete (button)

Press the Delete button and the following screen comes into view. Press the Yes button and the highlighted record will be deleted. If the No button is pressed, the program returns to the previous screen.

Print (button)

To print a report, press the Print button. For more information, see Printing Reports

Note: If the message "Nothing to Print"comes into view when the Print button is pressed, there are two main causes:
 A. There is no information within the selected limits. Remove all limits, then reinsert the limits one at a time. If the report still will not print, insert a new report title.
 B. No report title is selected. The report title is used to store the selected limits. A report title must be selected in order for the report to print.

There are two possible reports.

Close (button)

This button closes the program and returns to the main screen.

Add or Change a Cost Code Listing

To Add or Change a report, press the appropriate button and the following screen will come into view. This screen displays the possible limits that may be set. No limits should be set if a complete listing of every cost code is desired. Several limits may be set to narrow the list down to a very small range of cost codes.

Following is a description of each of the limits on each of the three different tabs. Check the appropriate boxes and enter the desired limits. When all desired limits have been set, press the OK button to save the settings. Press the Cancel button to return to the browse screen without saving the settings

Report Title

The title of the report. Warning: The title is used to store the selected limits. If no title is entered for the report, the message "Nothing to Print" will come into view when trying to print the report.

User

Enter the User ID of the report creator.

Lock (check box)

If this option is selected, only the User listed in the User field can change or delete this report.

Include

Check the boxes for the desired codes to be included in the report.

Job Cost Codes (check box)

If this box is checked, Job Cost Codes will be included in the report.

Worker's Compensation Craft Codes (check box)

If this box is checked, Worker's Compensation Craft Codes will be included in the report.

Certified Payroll Craft Codes (check box)

If this box is checked, Certified Payroll Craft Codes will be included in the report.

Liability Codes (check box)

If this box is checked, Liability Codes will be included in the report.

Billing Craft Codes (check box)

If this box is checked, Billing Craft Codes will be included in the report.

List Format

Short List (radio button)

This report includes only code and code description

Comprehensive List (radio button)

This report includes cost code and all associated data. This limit will only make a difference if Job Cost Codes are included in the report. For the other three types of cost codes, only a short list will be printed even when this button is selected.

Sort Order

Select the desired order either Sort by Cost Code or Sort by Description.

Sort by Cost Code(radio button)

This lists the report by cost code in numerical order.

Sort by Description (radio button)

This list the report by customer name in alphabetical order.

Orientation

Portrait (radio button)

Specifies how the report is positioned on the page when printed. Portrait is the standard. Portrait is printed vertically.

Landscape (radio button)

Specifies how the report is positioned on the page when printed. Landscape is printed horizontally.

Select Cost Codes (check box)

Selected Cost Codes may be chosen. If the Select Cost Codes box is not selected, all Cost Codes will be printed. This field activates the ranges which are defined on the next lines. To select only one cost code or a range of cost codes,check this box and enter that number in both the From and To fields. The name of the selected cost code will be listed next to the lookup button for both the From and To fields.

From

Selects the first code in a range of codes or a single code. Enter the number or press the lookup button and the Cost Code screen comes into view. Highlight the desired code and press the Select button.

To

Selects the last cost code in a range or a single code. Enter the number or press the lookup button and the Cost Code screen will come into view. Highlight the desired code and press the Select button.

Include Inactive Codes

Specify whether cost codes marked as “Inactive” should appear on the listing.

Select Worker's Comp Codes (check box)

Selected Worker Comp Codes may be chosen. If the Select Worker's Comp Codes box is not selected, all Worker's Comp Codes will be printed. This field activates the ranges which are defined on the next lines. To select one Worker's Comp Code or a range of codes, check this box and enter that code in both the From and To fields.

From

To select a limited number of worker's compensation codes, enter the first code in the range of codes or press the lookup button and the Worker's Comp Code screen will come into view. Highlight the desired code and press the Select button.

To

Select the last worker's compensation codes in a range or a single worker's compensation code. Enter the last code or press the lookup button and the Worker's Comp Code screen will come into view. Highlight the desired code and press the Select button.

Select Certified Craft Codes (check box)

Selected Certified Craft Codes may be chosen. If the Select Certified Craft Codes box is not selected, then all Worker's Comp Codes will be printed. This field activates the ranges which are defined on the next lines. To select only one certified craft code or a group of codes, check this box and enter that number in both the From and To fields. The name of the selected certified craft code will be listed next to the lookup button for both the From and To fields.

From

Selects the first certified craft code in a range of codes or a single code. Enter the number or press the lookup button and the Certified Craft Codes screen comes into view. Highlight the desired code and press the Select button.

To

Selects the last certified craft code in a range of codes or a single code. Enter the number or press the lookup button and the Certified Craft Codes screen comes into view. Highlight the desired code and press the Select button.

Select Liability Codes (check box)

Activates the ranges which are defined on the next lines. To select only one Liability code, check this box and enter that number in both the From and To fields. The name of the selected Liability Code will be listed next to the lookup button for both the From and To fields.

From

Selects the first Liability Code in a range of codes or a single code. Enter the number or press the lookup button and the Liability Codes screen comes into view. Highlight the desired code and press the Select button.

To

Selects the last certified craft code in a range or a single code. Enter the number or press the lookup button and the Liability Codes screen comes into view. Highlight the desired code and press the Select button.

Save and Print (button)

Click this button to save the current settings and print the report immediately, without having to return to the Report Title browse window.

Report Description - Dictionary of Codes (Short List)

The Dictionary of Codes is a listing of the cost or craft codes in the system. The report printed will depend on the type of code selected in the limits screen. Each type of report will print on a separate page. There are four possible reports:
 1. Dictionary of Cost Codes
 2. Dictionary of Liability Codes
3. Dictionary of Worker's Comp Craft Codes
4. Dictionary of Certified Payroll Craft Codes
 5. Dictionary of Billing Craft Codes
 For each of these reports the ID# of the code and the description will be printed. The codes are listed in three columns in numeric sequence. If more than one code type is selected at the same time, the different code type(s) will be printed on a separate page.

Report Description - Dictionary of Codes (Comprehensive List)

The Dictionary of Cost Codes is a Comprehensive listing of the cost and craft codes in the system. The listing contains the title, the date of the listing, the time and the cost code with all its associated data. The only report that is different from the short list is the Dictionary of Cost Codes regardless of the limits selected. The other types of reports will print but in the short list format.
