Printing Reports

When the desired report is selected from the Report menu, the following type of screen will come into view.

Click on any column header to sort the listed items. This will be useful when the list of reports has grown.

Report Title

This title is user defined. All the reports listed are the same type of report. The Report Title is a list of the sets of limits that have been created for this report. The limits may be different for each report title. To create a new set of limits press the Insert button and the appropriate limit selection screen will come into view. Warning: The title is used to store the selected limits, without a title there are no selected limits stored and the following message "Nothing to Print" will come into view when the Print button is selected.

User ID

This is the User ID of the person who created the report.

Modify Date

This is the date the report limits were last modified.

Insert (button)

Press the Insert button and the Report Limits screen comes into view. This option allows for the insertion of new report limits The screen that comes into view when this button is pressed will vary depending on the type of report.

Change (button)

Highlight the desired report limit and press the Change button. The Report Limits screen comes into view. This allows for the limits of the report to be changed. The screen that comes into view when this button is pressed will vary depending on the type of report.

Delete (button)

Press the Delete button and the following screen comes into view. Press the Yes button and the highlighted record will be deleted and the previous screen comes into view. If the No button is pressed, the program returns to the previous screen.

Print (button)

As a general rule, reports are first generated and brought to the screen in a Report Preview window. From this window the operator can view all pages of the report and select to print all or part of the report then close the preview. Highlighting the desired report in the list box then Clicking the Print button will cause this Report Preview window to come to the screen.

If the message 'Nothing to Print" comes into view when the Print button is pressed, there are two main causes:
 1. There is no information within the selected limits. Remove all limits, then, one at a time, reinsert the limits. If the report still will not print, insert a new report title.
 2. No report title is selected. The report title is used to store the selected limits. A report title must be selected in order for the report to print.

While the report is generating, the following screen will come into view. At any point, the Cancel button may be pushed.

If the Cancel button is pushed, the following screen will come into view.

If the No button is pressed, the report will continue printing. If the Yes button is pressed, the printing will be cancelled.

Printing Directly to the Printer

Occasionally the operator may wish to send the report directly to the printer without first viewing the Report Preview window. If this is the case, the user may Right-Click on the Print button. The following popup menu will appear.

Selecting the preview option will bring the report to the screen in a Report Preview window as described above. Selecting the "Print Report Directly to Default Printer" option will do just that. It will print the report directly to the printer without first displaying the report on the screen.

Close (button)

This button closes the program and returns to the main screen.

Insert or Change Report Limits

To Insert or Change a report, press the appropriate button and the following type of limits screen will come into view. This screen displays the possible limits that may be set. No limits should be set if a complete listing is desired. Several limits may be set to narrow the list down to a very small range. Check the appropriate boxes and enter the desired limits. When all desired limits have been set, press the OK button to save the settings. Press the Cancel button to return to the browse screen without saving the settings. In the following example, if a complete list of all General Ledger Accounts is desired, make sure the General Ledger Accounts selection is set to All. Press the Save and Print button and a complete list of all General Ledger Accounts will be printed. Limits are only set when the user wishes to filter the report.

Report Title

The name of the report. Warning: The title is used to store the selected limits. Without a title, there are no selected limits stored and the message "Nothing to Print" will come into view.

When the report is printed, at the bottom of the page there will be a list of all the limits that were selected in printing this report.
