Accounts Payable Overview

This is part of the Overview module.

This screen is only available through the Company Overview screen. A detailed listing of all open invoices is displayed. The tabs are to sort the information by Vendor Number, by Job Number, and by Date.

View Invoice (button)

 Hold Buttons

These buttons are for placing or releasing a hold on an invoice. Highlight the desired invoice, then press the red or green button. The red button places the invoice on hold. The green button releases the hold on the invoice.

Print Aging Report (button)

Send an Email Message (button)

If an Email address has been entered for the highlighted vendor, clicking this button will allow the user to immediately send an email.

Close (button)

This button closes the program and returns to the previous screen.

Note the Color Coding of Discounts Available:

Green items are Invoices which, if paid, will allow discounts.

Blue items are Invoices with discounts that expired within the Past 10 Days.

Red items are Invoices with discounts that expired More Than 10 Days Ago.

Invoices by Vendor by Aging Period

Clicking on any of the Aging Fields (ie 1-30 Days, 31-60 Days, etc.) on the Company Overview screen will bring the following screen into view.  All open Invoice for the selected Aging Period (ie 1-30 Days, 31-60 Days, etc) are displayed in numerical vendor order. A similar screen will come into view for all aging periods.

When an Aging Period is chosen, a detailed listing of all open invoices for the selected Aging Period is displayed in alphabetical vendor order. A similar screen will come into view for all aging periods. This screen shows only customers with open invoices which fall within the selected aging period.

Send an Email Message (button)

If an Email address has been entered, clicking this button will allow the user to immediately send an email.

 Hold Buttons

These buttons are to place or release a hold on an invoice. The red button places the invoice on hold or indicates an invoice that is on hold. The green button releases a hold on the invoice.

To place a hold on an invoice, highlight a vendor from the vendor list on the left side of the screen and the overdue invoices for that vendor will appear on the right side of the screen. Highlight the desired invoice then press the red button to place an invoice on hold. Press the green button to release a hold on an invoice.

Print Aging Report (button)

This button allows the immediate printing from the list of Aging Reports in the Posted Invoice Analysis Reports.

Close (button)

This button closes the program and returns to the previous screen.

View Invoice (button)

Click on the View Invoice button and the following screen comes into view. The Invoice is shown with all supporting cost disbursement and payment details. At this point, the user can add attachments or notes to the invoice.

View Map of Address (button)

Clicking this button will allow the user to display a map of the address or driving directions from the company address to this address.

Send an Email Message (button)

If an Email address has been entered, clicking this button will allow the user to immediately send an email.

View Posting Report PDF (button)

Clicking this button will open a PDF reader containing the Posting Reports from the original Invoice Posting (if available).

Changing the Invoice Number

For the most part, this window is a Read-Only representation of the invoice. There is one small exception, however. If the user highlights the value of the "Invoice #:" field, the contents of that field can be modified. When the "Close" button is pressed, this change will be saved.

Close (button)

This button closes the program and returns to the previous screen.
