General Ledger Projections / Modeling

This module allows the user to create a Three Year Projection of Sales, Expenses, and Cash Flow. The program then uses the projected Sales and Expenses Assumptions to produce a Cash Flow Statement, a Profit and Loss Statement, and a Balance Sheet for the three year period. Select Projections / Modeling from the General Ledger Menu and the following screen will come into view.

The user can enter multiple Projection Models based on various Sales Projections and Expense Projections. This screen will display all saved Projections.

Add or Change (button)

Delete (button)

Press the Delete button and the following screen comes into view. Press the Yes button and the highlighted record will be deleted and the previous screen comes into view. If the No button is pressed, the program returns to the previous screen.

Close (button)

Press the Close button to return to the main screen.

Adding or Changing a Projection

Press the Add or Change button and the following screen will come into view. The General Information tab will be selected by default.

Project Description

Enter a brief description for this Projection.

Start Month

Enter the beginning month for this Projection. Press the lookup button to select the Start Month from the Calendar.

Fiscal Period

Enter the beginning Fiscal Period or press the lookup button to select the beginning Fiscal Period.

Fiscal Year End

Enter the month during which the Company's Fiscal Year ends.

Balance Sheet Line Item for Cash Transactions

Select the Line Item where Cash Transactions will be recorded. The dropdown list will contain all line items from the company financial statements.

Sales & COGS tab

This tab allows the user to enter projected Sales and Cost of Goods Sold for each Item in the Item Price File. Select the Sales & Cogs tab and the following screen will come into view.

Each Product will be listed with its Total Projected Sales and Total Projected Cost of Goods Sold.

Add or Change (button)

Delete (button)

 

OK (button)

Press the OK button and this Projection will be saved.

Cancel (button)

Press the Cancel button to return to the main screen without saving this Projection.

Add or Change a Sales Projection

Press the Add or Change button and the following screen will come into view.

Each month will be listed for this Item with its Projected Quantity, Price per Unit, Total Projected Sales, Cost per Unit, and Projected Total Cost.

Item ID

Enter the Item ID or press the lookup button and select the Item ID from the Item File.

Description

Enter a brief description for the Item ID. If the Item is selected from the Item File, this field will be automatically filled.

Sales Price Per Unit

Enter the Sales Price Per Unit for this Item.

Financial Statement Line Item

Select the Financial Statement Line Item where Sales of this Item will be recorded.

Cost (COGS) Per Unit

Enter the Cost Per Unit for this Item.

Financial Statement Line Item

Select the Financial Statement Line Item where Expenses for this Item will be recorded.

Change Highlighted Quantity (button)

Press the Change Highlighted Quantity button and the following screen will come into view.

All fields displayed are informational only except for Quantity to be Sold This Month. Enter the Projected Sales for the selected month. Press the OK button to save the entered value. Press the Cancel button to return to the previous screen.

Change All Quantities (button)

Press the Change All Quantities button and the following screen will come into view.

Enter the Projected Sales Amount to be applied to all months of this Projection. Press the Proceed button to apply the Projected Sales Amount to all months. Press the Cancel button to return to the previous screen without saving.

General Expenses tab

This tab allows the user to enter projected Expenses and their associated accounts. Select the General Expenses tab and the following screen will come into view.

Each Account will be listed with its Description and Total Projected Expense.

Press the OK button and this Projection will be saved.

Press the Cancel button to return to the main screen without saving this Projection.

Adding or Changing an Expense

Press the Add or Change button and the following screen will come into view.

Each Month for this Account will be listed with its Projected Expense.

Account

Enter the Account Number for this Expense or press the lookup button to select the Account from the General Ledger Accounts List.

Description

Enter a brief description for the selected Account. If the Account is selected from the General Ledger List of Accounts, this field will be automatically filled.

Change Highlighted Projection (button)

Press the Change Highlighted Projection button and the following screen will come into view.

Enter the Expense Amount for This Month and press the OK button to save this Projected Expense. Press the Cancel button to return to the previous screen without saving the Projected Expense.

Change All Projections (button)

Press the Change All Projections button and the following screen will come into view.

Enter the Projected Expense Amount for all months for this Account. Press the Proceed button to apply this amount to all months. Press the Cancel button to return to the previous screen without saving.

Cash / Credit tab

This tab allows the user to project Cash and Credit Sales. Press the Cash / Credit tab and the following screen will come into view.

A sales breakdown for each month will be displayed. The Projected Total Sales, Cash Sales, and Credit Sales Percentages will be displayed.

Global Cash Sales Percentage

Enter the percentage of Total Sales that will be Cash Sales and press the Apply to All button to apply this percentage to all months in this Projection.

Global Credit Collection Allocation Percentages

Enter the percentage of Credit Sales that will be collected in 30 Days, 60 Days, and 90 Days. Press the Apply to All button to apply these percentages to all months in this Projection.

Change (button)

Press the Change button to Change the Cash and Credit Sales Percentages for the highlighted month. When the Change button is pressed, the following screen will come into view.

Percent

Enter the Percent of this month's Sales that will be collected as Cash. If an Amount is entered below, this field will be calculated automatically.

Amount

Enter the Amount of this month's Sales that will be collected as Cash. If a Percent is entered above, this field will be calculated automatically.

Within 30 Days, Within 60 Days, Within 90 Days

Enter the Percentage of Credit Sales that will be collected in each 30 day period.

Press the OK button to save changes made to this month or press the Cancel button to return to the previous screen without saving.

Management Discretion tab

This tab allows the user to enter Projections of Managerial Decisions that will affect the Company's financial status. Press the Management Discretion tab and the following screen will come into view.

Each Managerial Decision will be listed with its Description, Type, Amount, and the Month.

Press the OK button to save this Projection and return to the main screen.

Adding or Changing a Management Decision

Press the Add or Change button and the following screen will come into view.

Discretionary Item

Type

Select the Type of Discretionary Item this will be. Select one of the following options: Fixed Asset Purchase, Fixed Asset Sale, New Long Term Debt, New Short Term Debt, Repayment of Short Term Debt, Additional Equity/Capital, Owner Withdrawal/Dividends, or Income Taxes. If Fixed Asset Purchase or New Long Term Debt is selected, additional options will be available.

Fixed Asset Purchase

Select Fixed Asset Purchase and the following options will come into view.

Useful Life (in years)

Enter the expected Useful Life of this Asset.

Salvage Value

Enter the expected Salvage Value of this Asset.

Depreciation Expense Line Item

Select the Financial Statement Line Item where Depreciation for this Fixed Asset will be recorded.

New Long Term Debt

Select New Long Term Debt and the following options will come into view.

Interest Rate

Enter the Interest Rate for this New Long Term Debt.

Term (in months)

Enter the Debt Term in months.

Interest Expense Line Item

Select the Financial Statement Line Item where Interest for this Debt will be recorded.

Description

Enter a brief Description of this Discretionary Item.

Month

Select the Month in which this Discretionary Item will take place.

Amount

Enter the Amount of this Discretionary Item.

Financial Statement Line Item

Select the Financial Statement Line Item where this Discretionary Item will be recorded.

 

 

Analysis tab

This tab allows the user specify additional settings for printing Analysis Reports for this Projection. Press the Analysis tab and the following screen will come into view.

Setup for Printing of Pro Forma Balance Sheets

Starting Values

Use Account Balances from Fiscal Period (radio button)

Select this option to begin this Projection with the current Account Balances from the Fiscal Period selected on the General Information tab.

Use Starting Balances of Zero (radio button)

Select this option to begin this Projection with Beginning Balances starting at Zero.

Setup for Liquidity Ratio Calculation (button)

Press the Setup for Liquidity Ration Calculation button and the following screen will come into view.

Press the lookup button to select the Financial Statement Line Item where each item under the Category heading should be displayed. When the lookup button is pressed, the following screen will come into view.

Press the Select button to assign the highlighted Line Item to the specified Category. Press the Close button to return to the previous screen without saving changes.

Print Cash Flow Projections (button)

Press the Print Cash Flow Projections button and the following screen will come into view.

Detail (button)

Press the Detail button to Print a Detailed Cash Flow Report for the three year Projection.

Summary (button)

Press the Summary button to Print a Summary Cash Flow Report for the three year Projection.

Both (button)

Press the Both button to Print a Detailed and Summary Cash Flow Report for the three year Projection.

Cancel (button)

Press the Cancel button to return to the Analysis tab without Printing.

Print Income Statement Projections (button)

Press the Income Statement Projections button and the following screen will come into view.

 

Detail (button)

Press the Detail button to Print a Detailed Income Statement for the three year Projection.

Summary (button)

Press the Summary button to Print a Summary Income Statement for the three year Projection.

Both (button)

Press the Both button to Print a Detailed and Summary Income Statement for the three year Projection.

Cancel (button)

Press the Cancel button to return to the Analysis tab without Printing.

Print Pro Forma Balance Sheets (button)

Press the Print Pro Forma Balance Sheets button and the following screen will come into view.

Proceed (button)

Press the Proceed button to Print a Pro Forma Balance Sheet for this three year Projection.

Cancel (button)

Press the Cancel button to return to the Analysis tab without printing.
