Accounts Receivable: Time Billing

The accounting system has the capability of automatically generating a billing for employee time entered through the Payroll module. This means that once an employee's charge rate has been set, billing the customer for time reported by employees is as simple as selecting this Time Billing from the Accounts Receivable Main Menu and instructing the system to bill the customer. Visit the Employee Entry help topic for instructions on setting an employee charge rate. Visit the Timesheets help topic for instructions on charging employee time to a customer.

Select Time Billing from the Accounts Receivable Main Menu. The following screen will appear:

Following is a description of each of the limits. When all desired limits have been set, press the Proceed button.

Customer List

Customer Names and ID numbers are shown in this list box.

Show Only Customers with Unbilled Time (check box)

Check this box to limit the customers in the list to only those for whom there have been timesheets posted but not yet billed.

Tag, Tag All, Untag All

Use these buttons to tag Customers for whom a billing is to be generated.

Select Timesheet Dates (check box)

Activates the ranges defined on the next lines. To limit timesheets a particular range of dates, check this box and enter the first and last dates of the desired range. To limit timesheets to a single date, enter that date in the From and To fields.

AR Invoice Batch Number

Enter the number of the AR Invoice Batch into which the resulting customer billings will be saved. Press the lookup button and the following screen comes into view. Highlight the desired Batch and press the Select button. For more information on this screen, see Batch Management.

User-Defined Invoice Number (radio button)

Select this radio button to assign a user-defined invoice number to the invoice(s) created during this process. The default invoice number is "Time Bill".

Next Available Invoice Number (radio button)

Select this radio button to have the system assign the next available AR Invoice Number to the invoice(s) created during this process. The next available number will be displayed in the prompt.

Proceed (button)

Clicking this button will look for unbilled timesheets and create billings for the tagged customers in the specified batch. When the process is complete, the following prompt will appear:

Click OK and the Accounts Receivable Invoices window will appear with the appropriate batch selected. At this point the invoice can be edited, proof listed and posted along with other invoices.

Close (button)

This button closes the program and returns to the main screen.
