Accounts Receivable Overview

This is part of the Company Overview module.

This screen is only available through the Company Overview screen. A complete listing of all open customer Invoices is displayed. This includes the Total Amount owed by the customer as well as a breakdown by aging period.

Send an Email Message (button)

If an Email address has been entered for the highlighted customer, clicking this button will allow the user to immediately send an email.

Print Aging Report

Press the Print Aging Report button and the Accounts Receivable Aging and History Report screen comes into view. Select the desired report and press Print or insert a new report. See also Accounts Receivable Reports Aging and History Reports.

View Customer (button)

Press the View Customer button and the following screen comes into view. This screen lists the all the open invoices for the selected customer. It also lists general information about the customer, including address, phone numbers and aging information.

View Map of Address (button)

Clicking this button will allow the user to display a map of the address or driving directions from the company address to this address.

Send an Email Message (button)

If an Email address has been entered, clicking this button will allow the user to immediately send an email.

View Invoice(button)

Highlight the desired Invoice and press the View Invoice button. See View Invoice for more information.

Print Statement (button)

Press the Print Statement button and the statement will be printed. For more information, see Accounts Receivable Customer Statement.

Customer Notes (button)

This button allows the user to view and edit notes for the displayed customer.

Print Aging (button)

Press the Print Aging button and the following screen will come into view.

Press the Print Now button to print the report immediately or press the View Limits button to select from predefined A/R Aging Reports or to create a new report.

View Invoice

Highlight the desired invoice and press the View Invoice button. The following screen will come into view. This screen displays detail from the selected invoice.

View Map of Address (button)

Clicking this button will allow the user to display a map of the address or driving directions from the company address to this address.

Send an Email Message (button)

If an Email address has been entered, clicking this button will allow the user to immediately send an email.

View Posting Reports (button)

Clicking this button will open a PDF reader containing the Posting Reports from the original Invoice Posting (if available).

Reprint Invoice (button)

Press the Reprint Invoice button to print a new copy of the original invoice. When the button is pressed, the system will ask the following question:

Select "Yes" and the reprinted invoice will inlcude a red Past Due stamp that looks like this:

Reprint Draw Request (button)

If this invoices was generated from a Contractor Draw Request, this button will appear allowing the draw to be reprinted.

Invoice Detail (tab)

Here the program displays either a list box with the line items from a trade invoice, or a summary of amounts for a progress billing invoice.

Receipts (tab)

Here the program displays a list box containing all receipts that have been applied to this invoice.

Commissions (tab)

Here the program displays all employee commissions tied to this invoice. New commissions CAN be added after the invoice has been posted.

Attachments (tab)

Here the program displays all attachments tied to this invoice. New attachments CAN be added after the invoice has been posted.

Notes (tab)

Here the program displays all notes tied to this invoice. New notes CAN be added after the invoice has been posted. Any note attached to an invoice can be physically printed on the reprinted invoice at the user's discretion. When adding or changing an attached note, the window will look like this:

If the selection at the bottom is set to Print this inot on reprinted invoice, the note will appear looking like a yellow sticky note on the reprinted invoice.

Invoices by Customer by Aging Period / Month to Date / Year to Date

Clicking on any of the Aging Fields (ie 1-30 Days, 31-60 Days, etc.), MTD Billings, or YTD Billings on the Company Overview screen will bring the following screen into view.

When an Aging Period is chosen, a detailed listing of all open invoices for the selected Aging Period or billing time frame is displayed in numerical vendor order. A similar screen will come into view for all aging periods. This screen shows only customers with open invoices which fall within the selected aging period.

Print Aging Report (button)

This button allows the convenient printing of an Aging Report by jumping directly to the list of predefined reports.

Print Statements (button)

This button allows the convenient printing of customer statements for the listed customers.
