Adjustments

The accounting system allows for the adjustment to Inventory if, for some reason, the physical count does not match the count in the program. The Adjustments will need to be proofed and posted when complete. This option is accessed from the Inventory Main Menu.

When Adjustment is selected, the following screen comes into view.

Print Proof Listing

Once all Adjustments have been made, press the Print Proof Listing button to print the record of all entries and changes. Confirm that the Adjustments are accurate.

Post Adjustments

During the posting, the information is written to permanent history files. Once the Adjustments are posted, the Unposted Adjustments screen will automatically clear.

Once the adjustments are posted, the Unposted Adjustments screen will automatically clear.

Retrieve Physical Count (button)

Clicking this button will open a window to allow a physical inventory account worksheet to be printed and physical counts of inventory items entered.

The system will create adjustment entries for any physical counts that do not match the current On Hand inventory quantity for the item. Highlight any item and Double-Click the mouse or click the Change button. A small dialog box appears, allowing the user to enter a new quantity and optional unit cost.

When the OK button is pressed, the system will create Adjustment entries for all the items where a new quantity has been entered.

Import (button)

Click this button to import one or more inventory adjustments from a comma-delimited (.csv) text file. See instruction here.

Add, Change, or Delete

Press the Add or Change button to enter or alter an Adjustment. Press the Delete button to erase an Adjustment.

Add or Change an Adjustment

To Add or Change an Adjustment, press the appropriate button and the following screen will come into view.

Description

Enter the Description or reason for the Adjustment.

Add to Inventory (radio button)

By choosing this option, the program will add a specified amount of the item into Inventory.

Remove from Inventory (radio button)

The program will reduce the quantity of the item by a certain amount.

Item ID

Enter the Item ID, or press the lookup button to choose from the list of all items in Inventory.

Location

Enter the Location in which the program should add or reduce the item.

Area

Enter the Area in which the program should add or reduce the quantity of the item.

Quantity

Enter the exact amount of the item to be added to or taken from Inventory.

Value per Unit

Enter the value of the item.

Total Value

This is the total value of the Adjustment. It will be based on the value declared in the Value per Unit field and cannot be changed.

Transaction Date

Enter the date on which the transaction occurred.

Offset Type

There are three options: General Ledger Account, Job, and Equipment. This is the opposite side of the transaction. If the item is being added back into Inventory, choose where it will be added. If the item is being removed from Inventory, choose from where it is being taken.
