Reminders

This window will calculate and display a series of accounting and other reminders based on settings modified in Setup > Preferences. When the procedure is invoked, the following window will appear:

Each reminder type is a bold heading. If the reminder type has a parameter, the heading description will include an indication of the parameter. For example, the first reminder type listed is Accounts Payable Invoices to Pay. The parameter for this reminder type is invoices due within 10 days. The parameter can be changed in Setup > Preferences if desired.

Each reminder type heading can be expanded or contracted. As the reminder type is expanded, all the included items will be displayed with descriptions and possibly amounts and dates.

Initial State

The initial state of each reminder type heading (Summary (contracted), Detail (expanded), or Do Not Display) can be modified in Setup > Preferences.

Description (column)

In this column, the bold headings will show the reminder type and possibly the parameter. The non-bold line items will show an appropriate description based on the reminder type. For invoices, the invoice number will be displayed along with Vendor or Customer information. For Tax Deposits, the account number and name of accounts with unpaid accrual amounts will be displayed. For Over Budget Cost Codes, the job, cost code, budget, and cost information will be displayed. For to-do notes, appropriate information will be displayed.

Amount (column)

In this column, the bold headings will have a total of the Amount column figure for each included item. For non-bold line items, the amount displayed in this column will differ based on the reminder type. For invoices it will display the open amount. For Customer Statements it will display the total amount owed by the customer, for Tax Deposits it will display the account balance of accrual accounts, for Over Budget Cost Codes it will display the amount over budget.

Due Date (column)

In this column, non-bold line items may display a date. For invoices it will be the due date, for Customer Statements, Accounts to be Reconciled, Tax Deposits and Over Budget Cost Codes it will be today's date. For To-do Notes it will be the date of the to-do item.

Expand All (button)

Click this button to expand all the reminder types and view all detail information.

Contract All (button)

Click this button to contract all the reminder types and view only summary information.

Display To Do Notes for (drop-down list box)

The curren user is selected by default. Drop the list and select All users or any specific user to have the To Do Notes section reflect only to-do items for that user.

View More Information (button)

Highlight a detail item and click this button (or double-click on the detail item). A window will open allowing viewing or editing of the highlighted item, whichever is appropriate.

Double-Click on a Heading Item

Double-clicking on a heading line item will take the user to a window where an appropriate action can be performed. For example, double-clicking on Accounts Payable Invoices to Pay will open the Select Invoices for Payment window.
