New Features in Version 4.2 (February 2005)

DataViewT/FormMaker was enhanced so that:

The "Employee is Active" field is available in all DataView Payroll reports. The value of “1” is there for Active Employees and “0” for Inactive ones.

The Contact Manager's “Contact Listing” and “Activity Listing” are available in DataView.

Sales Orders and Price Quotes may now be customized using FormMaker.

The "Fringe Table" field is available in the Employee Listing.

A new "Reason for Change" field that was added to Change Order Detail record may be used to sort or filter the Change Order Listing in DataView.

Contact Manager was enhanced so that:

Only calls that are to be made “today” can be selected to come to screen. When this selection is made, those calls that were missed at an earlier date are also included. (From the Fall 2004 User Conference)

Accounts Receivable was enhanced so that:

When voiding Accounts Receivable Invoices, you now have the option of creating an unposted copy of the invoices in an AR Invoice Batch. That invoice may then be posted as appropriate.

Customer Numbers have been modified to support numbers up to 99999.

The size of the “memo” field on AR Trade Invoices was increased.

The Statement Printing function that selects items within a defined aging period now allows the printing of a “full statement” containing all items or just printing the items that fall within the defined period. (From the Fall 2004 User Conference)

Accounts Payable was enhanced so that:

Auto Check Voiding may now be done with checks being voided as of the current date or backdated to the date of the original check.

Vendor Numbers have been modified to support numbers up to 99999.

Payroll was enhanced so that:

For the first time, the IRS allows the printing of W-2 and W-3 Forms on blank paper, directly from within the program, without using preprinted forms.

A journal entry may be created to transfer the amount of cash required to cover paychecks from the operating account to the payroll checking account during payroll posting.

In Payroll Setup, there is a place to specify the “drive:\directory\filename” for the creation of the ACH file (for Direct Deposit check postings).

The Payroll Union Transaction Report was redesigned with new sorting or lookup options.

The Statement of Compliance portion of the Payroll Certification Report allows more exceptions to be printed.

A totally new Weekly Union Report was added.

Because the law now allows you to print W-2 and W-3 Forms on blank paper, that function was added.

The Payroll Certification Report now has an option to print the company address on each printed page, just below the report title.

The Employment History may be included on the Employee Listing report.

On the Timesheet Entry listbox, there is now a column indicating whether each timesheet includes One-Time Deductions and/or Other Pay. (From the Fall 2004 User Conference)

Purchase Orders were enhanced so that:

General Ledger was enhanced so that:

The Financial Statement with “yearly trend analysis” no longer prints blank columns for years that are outside the selected Fiscal Period Range.

Bank Reconciliation may now be done over the Internet by logging into your bank and downloading the list of “cleared items” at your bank then importing them into Visual Bookeeper. The multimedia training session on Bank Reconciliation was updated to cover this new feature.

General Enhancements include:

Checks, Forms, and Supplies may ordered directly from an Internet Link found on the Update CD. This link is directly to an approved vendor for A-Systems compatible Checks and Forms. This vendor offers premium as well as economy priced checks and forms.

More functionality was added for those using handhelds (PDAs). Now, there is the ability to limit which jobs, equipment, accounts, are employees are exported for use on handhelds.

A totally new function was added that creates fixed asset depreciation schedules, graphs, reports, and automatically generates monthly depreciation transactions. This new function is accessed through the General Ledger.
