New Features in Version 4.1 (August 2004)

The Overview Screens were enhanced so that:

The Accounting Overview now has the option of printing useful “tie back” reports, including AR Aging, AP Aging, Job Cost Summary, and Job Billing Summary.

DataViewT was enhanced so that:

A “Tagged for Closing” field is in available in the DataView: Job Listing Report. This allows users to print a list of those jobs that are to be closed.

Alphabetic data fields have been expanded to hold 50 characters.

Sales Order Entry was enhanced so that:

Price Quotes that were converted to Sales Orders can now be reprinted as Sales Orders.

Accounts Receivable was enhanced so that:

When entering a new Customer, existing Vendors, Employees, or Contacts may be pulled into the A/R Customer File.

If a Sales Tax is set up for a customer, "Taxable" box will be automatically checked on Invoices and Sales Orders.

Receipts Entry now allows multiple batches to be entered and posted separately.

The Draw Request has new fields for Unit Name and Total Units-to-Date, which are printed in the Quantity version of the AIA Draw Request Continuation Sheet.

A new report, the Streamline Sales Tax (SST) Report has been added to accommodate 42 states that have adopted or will be adopting the SST. The SST Report is in addition to the existing Sales Tax Summary Report.

Accounts Payable was enhanced so that:

During the Check Printing Process (during a “check run”), the Balance in the selected Checking Account will show on the screen. This new option may be “turned off” in the Menu Access setup for each User.

A new “Remit To” address has been added to the Vendor information. If a “Remit To” address is stored, checks are printed with this address.

When entering a new Vendor, existing Customers, Employees, or Contacts may be pulled into the A/P Vendor File.

When voiding a Check or Invoice, a new option allows the Invoice to be placed into an unposted batch.

Job Cost Reporting was enhanced so that:

A default General Liability Craft Code may be set up in Job Cost Code Entry.

A default Customer Purchase Order Number may be set up under the “Notes” tab in Job Setup. This number will then automatically be placed on new purchase orders entered for this job.

Job Setup has a new checkbox to indicate that this job does NOT require insurance (workers comp or liability) during timesheet processing.

When a new Job is created, the date of that entry is recorded for later access through DataView.

The Job Billing Phase Rate Fields can now handle four digits after the decimal.

A new button in Job Setup allows changing Bonding Report parameters for that Job.

A new "Cost per Unit" field is stored in the Job Cost Code file and the Job Cost Budget file for use in DataView.

A new Job Cost Analysis Report format was added, called "Job Cost Sheet." This new report includes a summary of Cost Codes and lists details of each Code.

Critical Path printouts have the ability to start at a defined date.

Payroll was enhanced so that:

Paycheck Auto-Voids may be posted to either the Current Fiscal Period or the Original Fiscal Period.

When a Direct Payroll Deposit is made, the bank receives information about which Account is to be charged.

Employee List ID Cards may be formatted to include or exclude Employee Address, Hire Date and Social Security Number.

The Earnings Detail Report no longer includes Non-taxable Other Pay in the Gross Pay figure.

Inventory was enhanced so that:

An "Active" flag may be set for Inventory Items to can be excluded from menus, screens, lists, etc.

Purchase Orders were enhanced so that:

A “default” sales tax rate may be defined, by Job.

The ability to look up POs that “contain” a certain word. For instance, if you are looking for a vendor with “paint” in their company name, all such vendors can be brought to screen by entering paint in the search field and pressing enter. Then, the correct one can be selected.

An existing Purchase Order may be duplicated.

General Ledger was enhanced so that:

The Fiscal Period Entry screen now “validates” data to assure that it is complete.

The General Ledger History can be “purged” for selected G/L Account Numbers.

General Enhancements include:

A new option that allows all reports to “lock out” changes except by the person that originally defined the report. That way, once a report is defined, that report will be preserved in its original format until the person who defined it changes it or unlocks it to changes by others.

The User ID of the person that did the postings now appears on all Posting Reports.

The option to skip the “Picture” file when making backups. This file is usually large and can take extra time during a routine backup.

As with all updates, the Help File was totally updated reflecting all the changes included in 4.1. The Help file is a powerful tool that only a few very wise people turn to. A-Systems invested a lot of time and money to create it in full color with straightforward instructions. It is kept current with every update. If you haven't tried the Help Button when you have a question, you might want to give it a try next time. You'll be surprised at what it has for you. JobView's Help File is arguably one of the best in the software industry, not just the accounting software industry, the software industry.
